Privacy notice

How campaign information is handled

The Adventurer's Ledger is an invite-based campaign companion operated by Ardy Mod in British Columbia, Canada. Ardy Mod is accountable for the service's privacy practices and is the current privacy contact. Privacy, account, and support requests can be sent to accounts@adventurersledger.ca.

Information you provide

• Account email address and authentication information processed by Supabase Auth. The site operator does not receive your password.
• Display name, campaign membership, campaign role, and invitation activity.
• Character sheets, portraits, notes, inventory, spells, campaign notes, encounters, dice history, and other content you choose to save.
• Messages or requests you send to a campaign owner or the site operator.

Information collected automatically

• Local browser storage used for preferences, an offline cache, and recovery.
• Basic security and operational logs, such as request time, IP address, browser information, and errors, processed by the hosting, database, and transactional-email providers.
• Transactional-email delivery information, such as the recipient address, message type, delivery status, bounce status, and engagement events made available by Brevo when it sends account confirmation, password recovery, or other service messages.
• Compendium searches sent directly from your browser to Open5e. Open5e may receive your IP address, browser information, and search request under its own policies.

Why it is used

Information is used to authenticate users, deliver requested account and security messages, enforce campaign permissions, synchronize campaign play, restore temporary connection failures, provide requested compendium results, prevent abuse, troubleshoot errors, and maintain service security. It is not sold, used for targeted advertising, or used for marketing email without separate consent.

Service providers and external links

OpenAI Sites provides website hosting. Supabase provides account authentication, database storage, access rules, and realtime synchronization. Brevo delivers account-confirmation, password-recovery, and other transactional service emails. Open5e provides the openly licensed compendium API. Official-library links open an external website only when you select them; that website's own terms and privacy notice then apply.

Your information may be processed or stored outside Canada, including in the United States and other countries where OpenAI, Supabase, Brevo, Open5e, or their subprocessors operate. The site's Supabase project is currently hosted in the United States. Information handled outside Canada may be subject to the laws and lawful access rules of that country.

Sharing and retention

Campaign content is visible to members according to their campaign role. Dungeon Master-only data is protected by database access rules. Active account, membership, and campaign records are kept until the account or campaign is deleted. The verified account-deletion tool removes live account data, owned campaigns, memberships, cached campaign copies on that device, stored files, and portraits associated with characters owned by the account immediately after verification. Encrypted provider backups may retain deleted records for up to 30 days before they are overwritten. Security and error logs are kept for up to 30 days. Privacy or support correspondence is kept for up to 24 months after the request closes, unless a longer period is required to establish, exercise, or defend a legal claim. Transactional-email delivery records are also subject to Brevo's retention practices. Open5e search requests are controlled by Open5e's own retention practices.

Your privacy choices and how to use them

1. Access: sign in and open Account Settings to review your account email, display name, memberships, characters, portraits, and campaign content available to you. For a complete account-level access report, email the privacy contact from your registered address with the subject “Privacy access request.”
2. Correction: edit your display name or campaign content in the service where controls are available. For account-email, membership, or inaccessible-record corrections, email the privacy contact from your registered address with the subject “Correction request” and identify the inaccurate item.
3. Export: use Account Settings → Campaign Data & Settings to export a campaign backup or character. For an account-level export, email the privacy contact from your registered address with the subject “Data export request.”
4. Deletion: sign in, open Account Settings → Delete Account, type the account email, enter the current password, and confirm. If you cannot sign in, email the privacy contact from the registered address with the subject “Account deletion request”; additional identity verification may be required.
5. Withdraw consent: stop optional processing by removing optional content or email the privacy contact with the subject “Withdraw consent” and describe the processing at issue. Withdrawal does not affect earlier lawful processing and may require account deletion if the processing is necessary to provide the service.
6. Complaint: email the privacy contact with the subject “Privacy complaint,” describe the concern, relevant date, account email, and requested resolution. The operator will acknowledge the complaint within 10 business days and aim to provide a substantive response within 30 days. If unresolved, you may contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada, as applicable.

Requests are normally completed within 30 days. A request may be extended or limited where permitted by applicable law; if that happens, the operator will explain why.

Security and age

Reasonable technical safeguards are used, but no online service can guarantee absolute security. Do not store highly sensitive personal information in campaign notes. Accounts are limited to people who are at least 18 years of age.

Changes

This notice may change as the beta evolves. Material changes will be identified by an updated effective date and, when practical, an in-app notice.

Terms of use

Rules for using the Ledger

By creating an account or using The Adventurer's Ledger, you agree to these terms. If you do not agree, do not use the service.

Beta service

The service is provided for campaign organization and tabletop play. Features may change, experience interruptions, or contain errors during the beta. Keep periodic exports of important campaign data.

Accounts and invitations

You must be at least 18 years of age to create or use an account. You are responsible for your account, password, invitation codes, and activity. Do not share access outside the intended campaign or attempt to bypass permissions, inspect another campaign, disrupt the service, or misuse realtime features.

Your content

You retain ownership of original campaign content you enter. You grant the service a limited permission to host, copy, process, and transmit that content only as needed to operate, secure, back up, and improve the service. You are responsible for having the right to upload or share your content.

Copyright and acceptable use

Do not upload or distribute copied rulebooks, subscriber-only stat blocks, official artwork, maps, adventures, or other protected material unless you have permission. You may privately enter information from material you lawfully own for use at your own table, but the service must not be used as a public replacement for a commercial book or subscription.

Open rules content

The built-in compendium is limited to material made reusable under an open license. Content outside those sources is not supplied by the service. Source and license information appears below.

Suspension and termination

Access may be limited or removed to protect users, comply with law, investigate abuse, or address a breach of these terms. Campaign owners control membership in their campaigns. Before leaving or deleting a campaign, export anything you need to keep.

Questions and disputes

For a question, complaint, or dispute, first email accounts@adventurersledger.ca with the subject “Terms dispute,” the account email, the relevant facts, and the resolution requested. The parties will attempt in good faith to resolve the matter informally for at least 30 days before starting a court proceeding, unless urgent injunctive relief or a legal limitation period requires earlier action.

Governing law

These Terms are governed by the laws of British Columbia and the federal laws of Canada applicable there, without regard to conflict-of-law rules. Subject to any consumer right that cannot be waived, disputes that are not resolved informally will be brought in the courts of British Columbia, Canada.

Disclaimers and liability

The service is provided “as is” and “as available,” without warranties of uninterrupted operation, data preservation, rules accuracy, or fitness for a particular purpose. To the extent permitted by law, the operator is not liable for indirect, incidental, special, consequential, or lost-data damages. Rights that cannot legally be waived remain unaffected.

Independence

The Adventurer's Ledger is an independent, unofficial, 5E-compatible campaign tool. It is not approved, sponsored, or endorsed by any tabletop publisher or digital rules service.

Licenses & attribution

Open content used by the compendium

The compendium serves SRD data through the community Open5e API. Entries may be formatted, indexed, and adapted for screen display and search, but the underlying game text remains subject to its license. D&D Beyond is used only for clearly labelled links to the official library. Its webpages are not scraped or reproduced. Protected books, artwork, and subscriber content are not copied; this also excludes non-SRD monsters, official logos, and proprietary page presentation.

The broader 2014 subclass, feat, and racial-feat indexes contain discovery metadata only: names, parent classes, broad categories, source status, and external links. They were cross-checked against the Cheeky Kokako experienced-player index, the D&D 5e community wiki, and the official D&D Beyond library. Those sites' descriptions, mechanics, page text, images, and presentation are not stored or reproduced. A reference-only entry is not a grant of access to the underlying book; users must consult a legally owned source.
